Position Title: Events & Catering Service Manager

Salary: 85,000-90,000

Job Summary

This position supports the efficient operation of the Event Planning and Catering Departments with special emphasis in coordinating catered and event logistics details. Responsible for coordination of all events booked from internal planning through delivery. Acts as liaison between Event planning team, operational departments and internal/external vendor partners. Create, review and follow up on all events BEO details, interdepartmental communications, and day of client liaison. Responsible for assisting with reports and projects as requested by the Directors of Events & Catering.

The Events and Catering Services Manager serves as the liaison between the Client, Planning Managers, and Event Operations Team, and is responsible for the efficient and professional coordination of all on-campus events. This position is on-site 5 days a week.


POSITION OBJECTIVES:

In the performance of their respective tasks and duties all employees are expected to conform to the following:

Collaborates extensively throughout the client organization with individuals in pivotal roles to ensure the department's success.

Facilitates seamless coordination of activities with other internal departments to achieve operational excellence.

Actively participates in and often leads team meetings, providing valuable insights and strategic direction for catering department initiatives.

Interfaces directly with internal partners fostering strong relationships and ensuring the delivery of exceptional service and experience.

Perform quality work within deadlines with or without direct supervision.

Work effectively as a team contributor on all assignments.

Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.

Major Duties Functions and Tasks

Daily Operations

Confirm activities of various departments to service events, such as outlining all food and beverage, facility, transportation, AV, and other technical requirements in accordance with required Banquet Event Order (BEO) specifications.

Communicates with planning team, operation and culinary to coordinate to ensure it meets client specifications.

Conducts site inspections and walk-throughs with operation team and internal partners for all complex events to discuss logistics and based on BEO information. Update the BEO based on walkthrough feedback.

Plans and conducts pre- and post-events meetings with planners, operations, and respective departments.

Communicates both verbally and in writing to provide clear direction to staff while maintaining accurate records of event details and client communications.

Performs administrative duties relevant to account responsibilities in compliance with corporate guidelines and brand standards.

Handles all event activities and decorations purchasing for event planners.

Update culinary BEO spreadsheet.

Conduct weekly group BEO meeting, making sure updated information is communicated in a timely basis.


SKILLS

Self-starting personality with an even disposition and strong sense of ownership over work.

Proficiency in managing and prioritizing multiple events concurrently, demonstrating strong organizational skills.

Demonstrate creativity and knowledge of food and beverage desired.

Experience in a high volume/high pace environment preferred.


FOOD AND SAFETY RESPONSIBILITIES:

Comply with all health and safety regulations.

Handles food items appropriately during preparation

Adheres to all Fact training Modules and HACCP procedures.

Attends safety meetings and participates in safety inspections.

Leads the department to follow all workplace and food safety rules to actively prevent accidents.

Ensures that all injuries and accidents are reported on a timely and accurate basis.

Ensure adherence to local, state, federal, and company policies, and conducts unit audits to ensure in key areas including food storage areas, and sanitation.

Qualifications

A minimum of 5 years of experience in the hospitality industry, including 2 years in management (preferably Catering Management) is required.

Proficient computer skills and knowledge of MS Office products, including Word,Excel, PowerPoint, Outlook, and internet.

Must possess leadership skills.

Excellent written and verbal communication skills.

Attention to detail.

Experience writing event BEOs and creating detailed event plans is a must.

Experience working with chefs, with an interest in food & beverage a plus.

Must have a valid driver's license - minimum of Class C (non-Commercial Driver License) license and clean motor vehicle record.

ServSafe Certification

Ability to complete the following Bon Appétit training:

Food Allergies and Celiac Training

Circle of responsibility
