Job Summary

To provide World Class Executive and Office support that will perpetuate and enhance the Levy culture and business philosophy. Results are achieved through intelligent, professional, and practical communication, management, and leadership skills.


This position is based out of the Corporate Levy HQ in Chicago, IL.

Major Areas of Responsibility:
* Schedule Management
* Day-to-day management of the calendars for the executives, including meeting scheduling and liaison with other administrative assistants
* Liaising with clients at a high-level on behalf of the Executive
* Ensures that meetings, presentations, and other duties are carried out seamlessly
* Books business travel to ensure that specific travel requirements and low fares are accommodated
* Manages travel schedule to proactively handle travel disruptions and any travel changes needed, this may include being available evenings and/or weekends

Office Management:
* Answers incoming calls using proper etiquette and thorough documentation and prompt distribution of messages
* Provides professional clerical support including filing, copying, and scanning of documents
* Processes invoices, expense reports and purchasing card statements on a timely basis
* Manages supplies and ordering for new business meetings
* Organizes appropriate location, set-up, and communication for meetings, including board meetings, meetings, off-site meetings, and client meetings.
* Facilitate organizing notes, gifts, cards, and awards when needed


Overall Management:
* Promotes a cooperative work climate, maximizing productivity and morale.
* Fosters strong relationships with operations by making accessibility and responsiveness a priority.

Job Requirements:
* Excellent and professional writing and verbal skills
* Experience working at Executive Assistant level with senior management and senior level clients
* Knowledge of MS office applications, including Word, experienced in Excel, and Outlook
* Ability to manage complex and highly confidential information
* Ability to work autonomously and across multiple tasks and reporting into different project teams
* Ability to build a Power-Point presentation, with design and creativity skills
* Must be adept at problem-solving
* Must be able to prioritize and plan work activities as to use time efficiently
* Must be organized, accurate, thorough, and able to monitor work for quality
* High degree of personal organization and self-management
