Job Summary

The Executive Briefing Center Facility and Guest Services Lead is responsible for assisting in upholding the World Class Facility Appearance and Maintenance. The EBC Facility and Guest Services Lead supports the Facility Manager to promote and facilitate communication cross-departmentally as well as assist in managing the relationships with all supporting facility vendor teams to ensure that the EBC is always ready for Executive Level Customers. Attention to detail, ability to prioritize multiple requests, taking initiative and emerging Project Management skills are key elements to this role. Additionally, the EBC Facility and Guest Services Lead is responsible for assisting in the safety of the EBC and overall readiness.

Essential Functions and Responsibilities:

  • Facility assistance, daily walkthroughs consisting of the monitoring and observation of day-to­ day ongoing facility appearance & functionality related issues. Including but not limited to issues related to paint, carpet, windows, flowers, plants, furniture, cleaning, repairs, etc.
  • Project management and assistance on both short- and long-term facility projects. Assists Facility Manager in upholding project quality and client satisfaction, etc. to ensure the projects meet expectations.
  • Inventory management of the EBC Facility & customer supplies. Place orders as needed, unpack deliveries/orders, organize and stock inventory, maintain inventory documents, etc.
  • Liaise with facility vendors; coordinating maintenance, repairs &/or quality issues and ensuring satisfactory results.
  • Liaise with the Facility teams in Experience Centers across the US; co-manage projects to create consistency in programs and work processes.
  • Responsible for coordinating, scheduling and communicating EBC furniture requests, changes, moves and inventory updates to the Business Services Team via email and diagrams.
  • Assists the Facility Manager in ensuring the safety of our facility. Including but not limited to,assisting in emergency situations, as well as, updating safety documentation, the safety bulletin board, ERP bags, etc.
  • Propose and develop operational processes & procedures, maintaining all necessary role specific documentation. Including but not limited to email templates, training manuals and SharePoint sites.
  • Coordinate EBC staff office updates, including but not limited to furniture, paint, phones, mail slots, etc.
  • Assist in encouraging strong intra and cross team collaboration among internal Compass, fellow vendors and Microsoft groups in the best interest of both, as well as encourage high team morale.
  • Build strong relationships with clients, Compass teams, internal vendors and external vendors, as needed.
  • Escalate issues as they arise appropriately and through proper administrative channels & escalation paths.
  • Act as a backup to the Facility Manager as needed assisting with additional coordination and projects.
  • Other duties as assigned.

Qualifications:

  • Bachelor's Degree or equivalent experience.
  • Highly proficient in Microsoft Office Suite and current on Microsoft Industry Trends.
  • Able to quickly learn new tools/software.
  • 2-4 years of hospitality experience in a high-level customer service environment.
  • 1-3 years of project management experience.
  • 1-3 years of vendor management experience.
  • Experience working directly with stakeholders, clients & contract owners.
  • Outstanding verbal and written communication skills; able to successfully collaborate with a wide variety of teams.
  • Ability to effectively prioritize and execute tasks in a dynamic environment.
  • Independent, yet able to follow guidelines well.
  • Determined, independent, self-starter with the ability to effectively manage competing priorities and tasks simultaneously.
  • Proven track record proactively managing and assisting projects among several teams.
  • Ability to think strategically and solve unstructured business problems.
