Job Summary

The Junior Conference Coordinator will assist in the planning, coordination, and execution of conferences, meetings, and events. This role involves working closely with the Conference Manager/Senior Planner and other team members to ensure all aspects of the events run smoothly and efficiently. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities:

Guest Services:
- Greet and welcome all visitors and guests upon arrival at the conference center.
- Provide information and assistance regarding event schedules, locations, and services offered.
-Answer and direct incoming phone calls and emails promptly and professionally.
- Always ensure a professional and courteous demeanor.

Event Planning Support:
- Assist in the planning and coordination of all logistical aspects of conferences and events, including conference room booking, catering, multimedia, security, and transportation.
- Support the development of catering proposals, run of shows, conference invoices
- Collaborate with vendors partners to ensure timely delivery of services and materials.

On-Site Coordination:
- Assist with on-site event setup, registration, and coordination.
- Ensure all event materials and equipment are in place and functioning properly.

Post-Event Activities:
- Support the preparation of post-event reports and summaries.
- Assist in identifying areas for improvement and implementing changes for future events.

Administrative Tasks:
- Perform other administrative duties as assigned.

Preferred Qualifications:

Education:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred.

Experience:
- Previous experience in event planning, coordination, or a related field is preferred but not required.

Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Ability to manage multiple tasks and priorities simultaneously.
- Professional appearance and demeanor.

Personal Attributes:
- Enthusiastic and proactive attitude.
- Ability to remain calm under pressure and handle challenging situations.
- Willingness to work varying shifts, flexible hours, including evenings and weekends, as needed.
