Job Summary

The Office Coordinator plays a critical role in ensuring a comfortable and efficient office environment, creating a positive impression on visitors and team members alike. They contribute to the overall functionality of the Home Office and support the smooth operations of day-to-day activities.


Responsibilities:

  • Retrieves, sorts, and distributes mail, including packages, by department and locations.
  • Handles mail runs (including Post Office and FedEx drops) and local deliveries, etc.
  • Records arrival/departure of packages.
  • Forwards misdirected mail.
  • Prepares documents and other items for shipping.
  • Weighs mail and calculates correct postage.
  • Sends out all mail at end of day.
  • Manages postage and mail machine.
  • Maintains, manages, and takes inventory of office supplies, ordering and restocking as needed.
  • Shreds confidential documents.
  • Completes daily checks on equipment throughout the office such as soda machines, copiers, coffee makers, etc. and works with the appropriate teams on maintenance and repairs.
  • Organizes and maintain storage areas on Home Office floors.
  • Assists with meeting and Home Office lunches set ups and clean ups.
  • Assists with repairs/setting up of office equipment.
  • Oversees office maintenance and repairs to ensure a safe and comfortable work environment, working with the appropriate teams and contractors as needed.
  • Handles miscellaneous office tasks as assigned by supervisors or managers.


Skills & Qualifications:

  • Proven experience as an Office coordinator or in a related position is an advantage but not required.
  • Strong organizational and multitasking skills.
  • Proficient in using office software (e.g., Microsoft Office suite).
  • Attention to detail and problem-solving abilities.
  • Flexibility and adaptability to manage changing priorities and tasks.
  • Physical ability to perform tasks such as lifting (up to 30lbs), bending, and standing for extended periods.
  • Basic knowledge of cleaning techniques and office organization.
  • Strong attention to detail and dedication to maintaining a clean and orderly workspace.
  • Excellent interpersonal skills.
  • Ability to work independently with minimal supervision.
  • Positive attitude and a willingness to contribute to a harmonious work environment.
